Reporting to the Director, Enterprise Analytics, Data Management & Governance, the IT Administrator supports the IT team’s budgetary, financial, procurement and administrative needs. The IT Administrator is responsible for anticipating, facilitating and enhancing the IT to Procurement and IT to Finance experience for stakeholders. Stakeholders being the CIO, IT leadership team, the greater IT team, Procurement team, Finance team and 3rd-party IT vendors.  Additional responsibilities include providing support to project managers with project budgeting, costing and financial control.  The IT Administrator initiates, manages and processes transactions in adherence to Mint policies, directives and procedures.

 

Key Responsibilities:

    Under direction from IT Leadership, develops the IT corporate budgets, analyzes trends affecting budget needs, reviews historical spend and new requirements, and ensures budget estimates are complete and accurate.
    Tracks and monitors all budget activity, actuals and spending commitments throughout the fiscal year, provides spending forecasts and context on variance analysis, prepares monthly, quarterly and year-end accruals, reviews invoices for payment and resolves issues with vendors and Accounts Payable.
    Writes capital business cases and sole source documents, completes statement of work templates and other internal corporate forms and documents required to comply with corporate policies.
    Acquires goods and services in a timely manner to ensure that the IT department can meet project and operational deadlines for both Ottawa and Winnipeg, assesses urgency and determines priority, requests competitive quotes to meet timelines and validates responses, enters requisitions or orders via PCard, tracks PO commitments and expenditures and initiates PO amendments as required.
    Liaises with multiple internal and external stakeholders, works collaboratively with various departmental teams such as Procurement and Finance to resolve issues, responds to inquiries in a timely manner, and maintains strong effective working relationships with both internal stakeholders and suppliers.
    Tracks maintenance support / software subscriptions / SaaS Cloud term dates and actions renewals as they come due to ensure no lapse in coverage.
    Contacts vendors to inquire on alternative options for backordered products, repair services, and replacement parts for hardware repairs.
    Coordinates the disposal of computer hardware to comply with corporate procedures, provides input and / or completes Access to Information and Parliamentary Inquiries on behalf of the IT department, and actions other internal requests for information as received.

 

Requirements:

    University degree / college Diploma in a related area and/or, a combination of education and relevant work experience will be considered.
    Excellent administrative abilities, strong organizational skills and detail-oriented.
    Effective communication, interpersonal and presentation skills.
    Ability to work well independently and as part of a team with various departments.
    Ability to work under pressure, address multiple requests, and manage competing priorities.
    One official language (English or French) is mandatory; the second official language is an asset.

Job Description

As a key member of the Infrastructure and Technical Support IT team, the incumbent will manage and maintain the firm’s server infrastructure and network to ensure
its reliability, effectiveness and security. You will also assist the technical support team as level 2 contact for operational infrastructure support. Reporting to the Director, Infrastructure and Technical Support, your main responsibilities are:

Key Responsibilities

    You contribute to an evolving network architecture by managing, maintain and documenting a high availability and high efficiency multi-site network;  
    You support and maintain an integrated on-premise/cloud infrastructure with Microsoft Azure and Office 365;
    You maintain disaster recovery strategies meeting corporate recovery objectives;
    You ensure applicable IT policies, standards, and procedures are maintained and respected;
    You deploy and maintain IT infrastructure security standards based on industry best practices and/or corporate security standards;
    You configure, analyze, and resolve network and sever alerts;
    You manage maintenance windows and deploy updates across the entire infrastructure;
    You participate and/or manage IT infrastructure projects ensuring changes applied follow corporate standards and IT best practices;
    You provide level 2 or 3 technical support to users and the technical support team.

Profile Sought

Education and experience

    You have relevant college-level diploma (DEC) or attestation (AEC) with a minimum of 10 years experience as System Administrator;
    You have relevant and current Microsoft certification(s) is an asset(s).

Technical knowledge

    Thorough knowledge and proven experience in:
        Windows Server, Hyper-V, DFSR, Active Directory, Clustering
        Office 365 (Exchange Online, SharePoint Online, Teams)
        Microsoft Azure and Intune
        Powershell scripting
        Network concept and Cisco/Meraki equipment
        Microsoft System Center Suite (SCCM, SCOM, SCVMM)
        Backup, VoIP and SAN systems
        Windows 10 and Office Suite
